Privacy Policy

1. Scope

This Privacy Policy explains how ServerTent collects, uses, shares, and protects personal information when you use our website, accounts, directory, APIs, email features, and Premium services.

2. Information we collect

Account information: username, email address, password hash, account role and status, verification state, communication preferences, sign-up source, and account timestamps. If you sign in with Discord, we receive identifiers and profile information authorized through Discord, including your Discord ID, username, avatar reference, and email address.

Content and activity: listings, uploaded images, descriptions, server connection details, links, votes, reviews, reactions, reports, subscriptions, notifications, API credentials and usage records, listing views, and join clicks.

Technical and security data: IP addresses or hashed IP-derived identifiers, user agents, login events, request timestamps, device and browser information, referral information, cookies, and records used to detect fraud, enforce limits, and investigate abuse.

Billing data: subscription status, plan, billing period, Stripe customer and subscription identifiers, and payment status. Payment card details are collected and processed by Stripe and are not stored by ServerTent.

Communications: contact requests, support messages, email campaign delivery status, and your email preference changes.

3. How we use information

We use information to provide and secure accounts; publish and rank listings; process votes, reviews, reports, and rewards; provide owner analytics and APIs; authenticate with Discord; process and manage Premium subscriptions; deliver transactional messages and emails selected in your preferences; answer support requests; measure service performance; prevent fraud and abuse; enforce our policies; comply with legal obligations; and improve ServerTent.

Where applicable law requires a legal basis, we process information as needed to perform our contract with you, pursue legitimate interests such as security and service improvement, comply with law, or based on your consent. You may withdraw consent for optional email categories at any time without affecting prior processing.

4. Public information

Listings, usernames, reviews, reactions, server information, images, links, vote totals, and other content intended for publication may be visible to anyone and may be indexed by search engines. Do not submit personal or confidential information that you do not want made public.

5. How we share information

We use service providers to operate ServerTent, including hosting and database infrastructure, S3-compatible file storage, Stripe for payments, SMTP providers or Resend for email delivery, Discord for optional sign-in and server data, Google reCAPTCHA for abuse prevention on selected public forms, Gravatar for profile images, and analytics providers used on the site. These providers process information under their own terms and privacy notices.

We may disclose information when required by law, legal process, or government request; to investigate fraud, abuse, security incidents, or policy violations; to protect users, ServerTent, or the public; or as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

6. Cookies, analytics, and reCAPTCHA

ServerTent uses essential session cookies to keep you signed in, maintain security tokens, and protect forms. We may use browser storage for preferences and service operation. Our analytics and advertising measurement integrations may receive technical information according to their own policies.

Google reCAPTCHA is used on login, registration, and contact forms to detect automated abuse. Its use is subject to Google's Privacy Policy and Terms of Service.

7. Email communications

We send essential account and security messages when needed. Depending on your preferences, we may also send ServerTent announcements, inactivity reminders, and weekly listing statistics. You can change these choices in Account Settings or use the unsubscribe link in a non-essential email. Opting out of optional email does not prevent necessary transactional or security messages.

8. Retention and security

We retain information for as long as reasonably needed to operate the service, fulfill the purposes described here, maintain security and abuse records, comply with legal and financial obligations, resolve disputes, and enforce agreements. Retention periods vary by record type. Deleted information may remain temporarily in backups or be retained where required by law, fraud prevention, chargeback handling, or legitimate security needs.

We use reasonable administrative and technical safeguards, including password hashing, access controls, signed tokens, rate limits, and encrypted network transport where supported. No online service can guarantee absolute security.

9. Your choices and rights

You can update eligible profile information and email preferences from your dashboard and delete your account through Account Settings. Depending on your location, you may also have rights to access, correct, delete, restrict, object to, or receive a portable copy of personal information, and to appeal or complain to a privacy authority.

To make a request, email us from the address associated with your account. We may verify your identity before completing a request. Some information may be retained where legally permitted or required.

10. International processing and children

ServerTent and its providers may process information in countries other than your own. Where required, transfers are made using recognized safeguards.

ServerTent is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Users must also meet any higher minimum age required in their location to consent to online data processing. Contact us if you believe a child has provided personal information.

11. Policy changes and contact

We may update this policy as the service or legal requirements change. We will revise the date above and provide additional notice for material changes when appropriate.
